Regsoft Pty Ltd (ABN 35 650 803 722) builds software that encodes legislation and policy as rules. This policy explains how we handle personal information. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth), and we are bound by them under our contracts with Australian Government agencies.
What we collect
We collect only what we need to run our business:
- names, work email addresses, phone numbers and job titles of the people we deal with at clients, partners and suppliers
- what people tell us when they contact us or ask about our services
- the details of people we may engage, such as candidates and contractors
- information about visits to our website. Our website uses no cookies, analytics or forms. Our web server logs visitors' IP addresses, and fonts are loaded from Google Fonts, which receives your IP address.
We do not collect sensitive information, such as health information, unless the law requires it or the person agrees.
Information we handle for our clients
When we build or run a system for a government agency, the personal information in that system belongs to the agency. We handle it only under our contract and the agency's instructions, and the agency's privacy policy applies to it. Questions about that information should go to the agency first.
How we collect it
We collect personal information directly from the person, by email, phone, meetings and our website. Sometimes we receive it from a person's employer, for example when an agency names its project contacts.
How we use and disclose it
We use personal information to deliver and manage our work, to answer enquiries, to meet our contractual and legal obligations, and to engage staff and contractors. We disclose it only to people who need it for those purposes, such as our accountant, lawyer, insurer and the agency we are working for, or where the law requires it. We do not sell personal information, and we do not use it for direct marketing without consent.
Where it is stored
We store personal information in Australia. Some software services we use to run the business, such as email and document tools, may process information outside Australia. Where that happens, we take reasonable steps to make sure the information is protected to the standard of the Australian Privacy Principles.
How we protect it
We use access controls, multi-factor authentication and encryption, and we limit access to the people who need it. When we no longer need personal information, we delete or de-identify it. If a data breach is likely to cause serious harm, we notify the people affected and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.
Access, correction and complaints
You can ask to see the personal information we hold about you, and ask us to correct it. We will respond within 30 days. If you have a complaint about how we handled your information, contact us first and we will respond within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
